Temporary (ON-GOING)

1. To be responsible for the co-ordination and minute taking of the Department’s multi-agency Child Protection conferences and complex strategy meetings which are held on/off site and are chaired by Independent Reviewing Officers.

2. To carry out administrative duties in relation to Children’s Services statutory function and other responsibilities at the direction of the Administration Manager.

3. To be responsible, through the Administrative Manager for the maintenance of the Department’s Child Protection Register, having day to day responsibility for the accuracy and security of its records in accordance with Department of Education and London Child Protection Procedures guidelines.

4. To provide administrative cover to the Looked After Children Administration Service, Unit Administrator and Reception service.

5. To provide administrative support for the Unit’s quality assurance responsibilities including inspections.


DESCRIPTION OF DUTIES

2.1. To be responsible for the co-ordination and scheduling of Child Protection Conferences.

To ensure smooth operation of Child Protection Conference through:
• An understanding of the function of each conference and the responsibilities of social workers in relation to what the administrative requirements are at each conference

• Accurate minutes completed to tight deadlines, summarise the key decisions, outcomes and recommendations.

• Maintaining and archiving all records relevant to child protection conferences.

• Collating and despatching reports and information from other agencies as required by the chair of the conference.

• Maintaining booking system in line with conference requirements, advise social workers and chairs and follow up to ensure conference deadlines are met.

• Collation of statistical data regarding child protection conferences, registrations, multi-agency and participation for the Local Safe Guarding Children’s Board.

• To support the unit’s quality assurance activities and responsibilities towards PAF indicators.

• Responsibility for ensuring the Department’s child protection database is updated to assist Senior Managers in meeting performance targets.

• Responsibility for ensuring that correct agencies are invited to conferences to ensure good multi-agency participation.

• To set up and maintain accurate electronic and hard copy case files in relation to child protection conferences.

• Co-ordinate, attend and participate on CP Training courses.

To maintain and ensure the departments statutory service users records are accurate, such systems to include:
• The child protection register

• Temporary child protection register

• Missing children register

• 6 monthly reviews

• Schedule 1 offenders register

• De-registrations

• Allegations against professionals
