A London Borough is currently looking for a P/T Project Support Officer with a for about 3 months
Key responsibilities
To support the project manager, workstreams and programme managers in the management of the project for transforming
To ensure a high standard of record-keeping at all times both electronically and in paper form as appropriate.
To ensure the shared drive system for the project is up to date and accessed by all relevant project team members.
To provide necessary text or numerical reports as required on aspects of the project.
To manage small project pieces of work within the overall scope of the project
To manage the consultants to deliver the project as directed. Monitor and authorise consultant fees and contract payments and monitor the financial and physical outputs of the schemes
To organise and coordinate all aspects of the project as required including meetings, documentation, access to site etc.
To pro-actively ensure effective support of all areas of the project, including organisation, management, coordination and access of information and other resources
Organise all project meetings ensuring rooms and equipment are booked and the relevant attendees are notified in a timely manner.
Coordinate large-scale project events including arranging venues and speakers, inviting participants, liaising with participants and ensuring any support needs are met, developing, writing and producing information packs and collating event outputs, feedback forms and information.
Attend all project meetings and produce accurate and detailed minutes, ensuring relevant information is sent to all attendees in a timely manner.
To work closely with the other Project Officer to ensure effective cover in the others absence.
To work and liaise proactively with all members of the project team to ensure the project is delivered effectively. To ensure a high standard of organisation correspondence to members, stakeholders and in reports and undertake any other duties that may reasonably be required. Set up, review and report on budget monitoring for all project budgets.
The role is for 25 hours per week only
Essential Requirements
Effective use of Project Management tools and techniques particularly in the management of difficult projects
Understanding of the process of project development and delivery, preferably for change projects
High quality written and verbal communication skills
Excellent organisational skills able to manage a complex and varied workload Prince 2 methodology desirable
