A West London Borough is currently looking for a Administrator/Minute Taker for about 3 months
Key responsibilities are as follows
To provide a comprehensive administrative and minute taking support service to social care workers.
To carry out business administrative systems and processes ensuring compliance to divisional and corporate guidelines
To work in accordance with legislative, corporate and divisional guidelines.
Able to use a range of computer software systems such as Microsoft packages and organisational databases to a good efficient standard
Able to use the Council’s electronic procurement system to order equipment, services and supplies requirements of the service and office environment
To carry out administrative tasks to support the division in a responsive and high quality standard
To work within a team framework to carry out tasks, ensuring key priority tasks are completed in times of staff absences.
To advise managers and new workers on administrative systems and procedures in accordance with a high quality social care delivery of services
Develop an understanding of the role and functions of the service area in order to transfer incoming calls and enquiries appropriately and timely in the absence of the head of service.
To receive telephone enquiries and service requests from members of the public, existing service users in the absence of colleagues, recording information accurately and timely using the department’s client database.
To maintain an overview of the information system providing details of colleague whereabouts during the day
To deal with incoming post, ensuring accurate distribution or redirection as appropriate
To work alongside colleagues in the maintenance of a safe working environment reporting incidents, accidents, repairs and maintenance promptly and taking appropriate action as required. Compliance to health and safety legislation is required.
To be responsible for ensuring that all case files relating to service users are archived according to council and legislative requirements.
To input and update data accurately onto electronic records, working alongside colleagues to ensure information is current and reliable.
To be responsible for co-ordinating, setting up and minute taking of meetings, events
Essential Skills
Must have a strong minute taking background as well as administration
Ideally have worked for a Borough
Must be able to commit to 3 months and able to interview from week beginning the 25th of February
