A large Housing organisation is currently looking for an Administrative Assistant on an ongoing temporary basis. Key responsibilities are as follows To accurately report defects on the housing management systems to the appropriate parties and escalating through the correct channels if necessary. To obtain photographs and visit site if needed To contact residents, staff and contractors to update on various issues both electronically and in person. To have a professional approach and demeanour to these tasks. Report on contractor performance via reporting software and presenting this during monthly contractor meetings. Support the team to manage the work of contractors including rescheduling times, monitoring feedback, schedule meetings, taking minutes or on leave At times be required to work remotely to communicate directly with residents. Assist Property officers with the investigation and resolution of any complaints stemming from aftercare service, snagging or defect issues. Answer telephone, email or letter correspondence from residents, and or internal/external partners, stakeholders etc. within the company guidelines Assist in setting up direct debits or payment methods for rental payments for service charges. Chase developers and keep residents regularly updated on the progress of repairs, defects etc Assist Property officers with the issuing of statutory notices and monitor feedback Provide Property officers and managers with key performance data when required Contribute to monthly and weekly business reports for the team and department, providing accurate data to enable key performance indicators to be monitored so that the team and department achieve these objectives Assist the leasehold team to fulfil the 2016/2017 operational plan Essential Requirements Must have a consistent work history within an administrative environment, ideally no more than 2 years’ experience Must be excellent on Word & Excel Must be a great communicator who can build relationships Must be immediately available or on short notice and able to interview next week and start the following week of the 6th of February
