A well known Housing Association is currently looking for a Data Administrator on an ongoing temporary basis Key responsibilities are as follows Provide HR, T&D and Payroll administration support; including inputting data into various HR information systems and databases, creating and running reports, updating spreadsheets, producing letters/forms/delegate lists, running mail merges and managing the production of standard staff and candidate communications Update the HR system processes, manuals and letters as required under the direction of the HR Advisers or HR Operations Managers. Request, collate, scan and file payroll administration information to enable the accurate processing of payroll changes in an appropriate and timely manner; liaising with managers and staff and escalating to an Adviser where appropriate. Lead in undertaking all pre-employment processes (referencing for candidates, DBS checks, eligibility to work, declarations of interest and other checks and audits) referring to the HR Adviser and HR Assistant as necessary Assist in the maintenance of HR and T&D email in-boxes, check and save absence certificates; manage, create external delegate profiles in order to book their training requests; respond and distribute information. Ensure these in-boxes are well maintained. Undertake administrative/clerical duties such as filing, mail outs, mail merges, scanning and collating meeting packs, distributing post Ensure compliance with internal HR controls, adhering at all times to company rules, policies and processes within the legislative/statutory requirements and financial regulations. Ensure HR systems, files, policies and procedures are kept up to date and accurate Assist HR colleagues with queries and requests from managers, staff, and HR colleagues in a professional and customer centred manner; escalating to an HR Adviser where appropriate Provide support and cover across the HR and Training department Undertake project work and research for the department as required Essential Requirements Experience using an HR Information system (ideally iTrent) or a similarly complex database Excellent PC skills including Microsoft Office packages, with Excel and Word to intermediate level. Good data administrative background preferably within HR but not essential
